Archive Text Message to Email using SMTP

The Archive Text Messages to Email feature automatically archives text messages sent and received through LeadCenter and delivers them to an email address of your choice. This provides a simple way to retain records of text communications without requiring additional third-party compliance tools.

What Gets Archived

When enabled, Archive to Email captures:

  • Text Messages: All SMS messages sent and received through LeadCenter virtual phone numbers
  • Message Attachments: Any documents, images, or media files included in text messages

How It Works

After setup, LeadCenter automatically sends archived messages to your designated email address:

  1. Each message is delivered as a separate email containing key details such as contact ID, message direction, and message ID
  2. Messages are archived once per day at 5:00 AM UTC
  3. Only new messages sent after the feature is enabled are archived
  4. Each message is archived only once to prevent duplicates

Setting Up Archive to Email

To enable Archive to Email:

  1. Go to Integrations in your LeadCenter dashboard
  2. Find the Archive to Email integration card
  3. Click Connect
  4. Enter the destination email address (for example, archive@company.com or info@company.com)
  5. Enable the Text messages option
  6. Click Connect to save your settings

Email Format

Archived messages are delivered using the following format:

  • Subject Line: Includes message direction, contact ID, and message ID for easy identification
  • From Address: no-reply@leadcenter.ai
  • Content: Contains the full message text, timestamps, and any attached files

Managing Your Archive Settings

Once connected, you can manage your Archive to Email configuration at any time:

  • Settings: Update the destination email address or adjust what content is archived
  • Disconnect: Disable the integration to stop archiving messages to email

Important Notes

  • Archiving Schedule: Messages are archived daily at 5:00 AM UTC
  • Historical Messages: Messages sent before the feature is enabled are not archived. To retrieve older records, use the export reports feature
  • Email Delivery: Ensure your mailbox can receive emails from no-reply@leadcenter.ai and check spam or quarantine folders if messages are missing
  • Storage Considerations: Archived messages are stored in your email system, so confirm sufficient storage capacity
