Task list templates help you create structured, repeatable task lists for recurring processes. Instead of building the same multi-step checklist from scratch each time, you can save a reusable template and generate a full task list in just a few clicks.


What Task List Templates Are Used For

Task list templates are useful for repeatable workflows such as:

  • Client onboarding
  • Lead nurturing
  • Annual review preparation
  • Account setup
  • Operations checklists

Each template can include multiple tasks, along with timing rules that automatically set due dates when the task list is created.


What a Task List Template Includes

A task list template can include:

  • Task List Name
  • Description
  • Target Date
  • Multiple tasks inside the template
  • Target date offsets for each task

These offsets help LeadCenter calculate when each task should be due based on the target date you set for the new task list.


Creating a Task List Template

  1. Go to the Task list templates page.
  2. Click + New Template.
  3. Enter the template details:
    • Task List Name — a clear name for the template, such as Client Onboarding
    • Description — a short explanation of what the task list is for
    • Target Date — the date the overall process should be completed by
  4. Add the tasks that should be part of the template.
  5. Set the target date offset for each task.
  6. Click Save.

How Target Date Offsets Work

Task list templates use target date offsets to automatically calculate due dates for each task. This means each task can be scheduled relative to the overall target date of the list.

For example, if the target date is the final completion date for the process, you can set tasks to be due:

  • 5 days before the target date
  • 2 weeks before the target date
  • 3 weekdays before the target date
  • 1 month before the target date
  • 1 year before the target date

This makes it much easier to generate the same process repeatedly without manually adjusting each due date every time.


Managing Task List Templates

From the task list templates page, you can manage each template using the action menu. Available actions include:

  • View — open the template and review its details
  • Copy — duplicate the template to quickly create a similar version
  • Edit — update the task list name, description, target date, or included tasks
  • Delete — remove the template if it is no longer needed

Tip: Editing or copying a task list template does not affect any task lists that were already created from that template.


Using Task List Templates

  1. Create a new task list from the Tasks page.
  2. Select a Task List Template from the template dropdown.
  3. Choose the target date for the new task list.
  4. LeadCenter automatically creates the tasks in the list and applies the correct due dates based on the template offsets.
  5. Review the generated task list and save it.

Task list templates make multi-step processes faster to launch and more consistent across your team.


Best Practices

  • Use task list templates for workflows that follow the same sequence every time.
  • Choose a clear template name so users know when to use it.
  • Use descriptions to explain the purpose of the process if it may not be obvious to all users.
  • Review the included tasks regularly and update the template when your process changes.
  • Use Copy when creating a similar template instead of rebuilding it from scratch.
  • Keep target date offsets realistic so task due dates are spaced in a practical way.

What is the difference between a task template and a task list template?

What happens if I edit a task list template?

Changes apply only to future task lists created from that template. Existing task lists are not updated automatically.
