AI Meeting Summary Templates Setup and Instructions
Meeting Summary Templates allow LeadCenter to automatically generate structured notes after
each recorded meeting. Instead of writing detailed notes manually, you define the format once,
and the AI fills it in using the meeting transcript.
Each summary follows your preferred structure, ensuring consistency across meetings while
saving time on documentation.
How Meeting Summary Templates Work
When meeting summaries are enabled:
The meeting is recorded by the Claudia AI (meeting assistant).
The recording is transcribed.
The AI reviews the full transcript.
A summary is generated using your selected template.
The summary is saved as a note on the related contact.
The AI extracts relevant details from the conversation and organizes them according to the
headings and placeholders defined in your template.
Enable Meeting Summaries in Calendar Settings
Meeting summaries are configured per calendar.
Go to Calendars.
Click the Settings (gear icon) for the calendar you want to configure.
Scroll to the Claudia AI (Meeting Assistant) section.
Enable the Meeting summary toggle.
Once enabled, additional configuration options will appear.
Assign Templates by Appointment Category
You can use different summary templates for different types of meetings by assigning templates
per appointment category.
In the Meeting summary section, select an Appointment category.
Choose a Meeting summary template for that category,
or leave the category set to Default (All categories).
Repeat for additional categories if needed.
Click Save to apply your settings.
This allows you to tailor summaries for different meeting types, such as client reviews,
prospecting calls, or planning meetings.
Create a Meeting Summary Template
At least one meeting summary template is required before summaries can be generated.
Click the Marketing Dashboard button in the top navigation bar.
Select AI Templates.
Choose the Meeting summary category.
Click New Template.
Name the template clearly (for example, “Client Meeting Summary”).
Add headings and placeholders to define the structure.
Save the template.

What Happens After a Meeting
Once meeting summaries are enabled and a template is selected:
The meeting is recorded and transcribed automatically.
The summary is generated within a few minutes.
The summary is saved as a note on the contact record.
You receive a notification when the summary is ready.
Frequently Asked Questions
Does the meeting need to be transcribed?
Yes. A transcription is required before a summary can be generated.
How long does summary generation take?
Usually 1–2 minutes, depending on meeting length.
What if a topic wasn’t discussed?
The AI will skip that section or note that it was not discussed.
Can I edit the summary?
Yes. Summaries are saved as notes and can be edited like any other note.
I don’t see any templates to select.
You must create at least one template under
Marketing Dashboard → AI Templates → Meeting summary.
The summary wasn’t generated.
Verify that both Meeting transcription and
Meeting summary are enabled in your calendar settings.
