A meeting transcription is a written, word-for-word record of everything said during a recorded
meeting. Instead of replaying an entire recording, you can quickly read through the conversation
to review what was discussed, find specific details, or share information with your team.
Why Meeting Transcriptions Are Useful
Meeting transcriptions help you:
Quickly reference conversations without scrubbing through audio or video
Maintain documentation for client meetings and internal discussions
Collaborate more easily by sharing written meeting content with others
Power AI features such as summaries, scorecards, sentiment analysis, and participation metrics
How Meeting Transcriptions Are Created
Transcriptions can be generated automatically for all meetings or manually for individual meetings.
Automatic Transcriptions (Recommended)
When enabled, meetings are transcribed automatically after the AI meeting assistant records them.
Go to Calendars.
Click the Settings (gear icon) for the calendar.
Scroll to the Claudia AI (Meeting Assistant) section.
Enable Meeting transcription.
Click Save.
Once enabled, all future meetings on that calendar will be transcribed automatically.
Manual (On-Demand) Transcriptions
If automatic transcription is not enabled, individual meetings can still be transcribed manually
after they are recorded.
Manual transcription options appear on recorded meetings once the audio is available.
How to View a Meeting Transcription
After a meeting has been transcribed, you can view the transcription from the related contact record.
Open the associated Contact.
Go to the Appointments tab.
Locate the meeting in the list.
Click the Actions menu (three dots) on the appointment row.
Select View transcription.
A side panel opens showing the full meeting transcription.
What You’ll See in the Transcription Viewer
The transcription viewer includes:
Speaker labels identifying who spoke (when available)
Timestamps indicating when each segment occurred
Full conversation text displayed in chronological order
Requirements
To generate and view a meeting transcription:
The meeting must be recorded by the AI meeting assistant
Meeting transcription must be enabled or manually triggered
Troubleshooting
No transcription available — The meeting may still be processing or
transcription is not enabled for the calendar.
Missing speaker names — Participants may appear as generic labels
(e.g., Speaker 1, Speaker 2) if they could not be identified.
Incomplete transcription — Overlapping speech or poor audio quality
can affect transcription accuracy.
