Call Summaries

Call summaries let you quickly review what happened during a phone call and automatically save structured notes to the related contact record. Summaries are generated using AI and remain linked to the original call for easy reference.


Before You Can Generate a Call Summary

Call summaries can only be created when the following requirements are met:

  • The call is recorded — Call recording must be enabled for inbound and/or outbound calls.
  • The call is transcribed — The audio must be converted to text (this can happen automatically).

Note: If a call is not recorded or transcription has not completed, a summary cannot be generated.


How Call Summaries Are Generated

Call summaries can be generated automatically for every call or manually for individual calls.

Automatic Call Summaries (Recommended)

When enabled, LeadCenter will automatically generate a call summary after each recorded and transcribed call — no manual action required.

  1. Click your profile menu in the top navigation.
  2. Select Settings.
  3. Go to Phones and texts → Phone numbers.
  4. Click the Settings (gear icon) on the page.
  5. Select Claudia AI settings.
  6. In the modal, scroll to AI transcription & call summary.
  7. Enable Transcribe calls.
  8. Enable Create call summary.
  9. Select a summary template.
  10. Optionally enable:
    • Create tasks — Automatically generate follow-up tasks
    • Create email draft — Generate a follow-up email draft
  11. Click Save.

Once enabled, summaries will be generated automatically for all future recorded calls on that phone number.


Manual Call Summaries (On-Demand)

You can also generate a call summary for a specific call at any time.

  1. Open the related Contact record.
  2. Go to the Calls tab.
  3. Find the call you want to summarize.
  4. Click the Actions menu (three dots).
  5. Select Generate call summary.
  6. If prompted, select a summary template.
  7. Optionally choose to generate tasks or an email draft.
  8. Click Generate.

Viewing a Call Summary

  1. Open the contact.
  2. Go to the Calls tab.
  3. Click the call’s Actions menu.
  4. Select View call summary.

A side panel opens showing the most recent summary saved for that call. If you see No call summary yet, generate one first.


How Call Summaries Appear in Notes

Each call summary is saved as a note on the contact record.

The note includes a label similar to:

for <<phone call>> #123

This label makes it easy to identify which note was generated from which phone call.


Call Summary Templates

Call summaries use Meeting Summary templates to determine the structure and content of the generated notes.

Create or Manage Templates

  1. Click Go to Marketing Dashboard (green button).
  2. Open AI Templates.
  3. Select the Meeting summary category.
  4. Create or edit templates as needed.

Templates control what sections appear in summaries (discussion points, action items, next steps, etc.).


Troubleshooting

  • "Call transcription not found" — Transcription has not completed or is disabled. Ensure Transcribe calls is enabled.
  • No summary option available — The call must be recorded.
  • No templates available — Create at least one Meeting Summary template in the Marketing Dashboard.
