Custom Export Templates let you control exactly which fields are included when you download contacts as a CSV file.
You can choose only the fields you need, arrange the column order, and save that setup as a reusable template for future exports.
This helps your team create cleaner exports for reports, handoffs, operations work, and spreadsheet workflows without having to sort through the full default export every time.
Overview
With Custom Export Templates, you can:
Choose specific fields for your CSV export instead of downloading the full default field set
Control column order by dragging and dropping fields into the order you want
Save reusable templates for repeat exports
Create private or shared templates depending on whether the export format is just for you or for your whole team
Use saved templates directly from the download pop-up on the Contacts and Pipeline pages
Note:All Fields (Default) is always available in the export dropdown even if you do not create a custom template.
Where to Find Export Templates
You can manage export templates from:
Settings → Database lists → Export Templates
Or by clicking the template link inside the export modal when downloading contacts
When you run a download from the Contacts or Pipeline page, your saved templates appear in the export pop-up so you can select one before starting the CSV export.
How to Create an Export Template
Step 1: Open Export Templates
Go to Settings.
Open Database lists.
Click Export Templates.
Click Create Template.
Step 2: Select the fields you want to export
Enter a template name.
Check the fields you want to include in the CSV export.
Use Select All / Unselect All or group-level toggles if needed.
Fields are organized into groups such as:
Basic Information — name, company, job title, and similar core contact details
Communication — primary phone, primary email, primary address, and other phones, emails, and addresses
Contact Details — source, stage, owner, tags, keywords, and system fields
Personal Information — personal profile fields such as smoker status, height, weight, and citizenship
FA Details — client status, advisors, and financial fields for Financial Advisor tenants
Spouse Details — spouse name, date of birth, and related spouse fields
Marketing Preferences — do not call, do not email, opt-in status, and similar preferences
Notes & Activity — latest comment, last appointment, last task, call details, and related activity fields
Identifications — IDs such as driver’s license and passport
Professional Contacts — CPA, attorney, and other linked professionals
Employment History — current and past employment records
Custom Fields — your organization’s custom contact fields grouped by category
Step 3: Arrange the export column order
Move to Step 2 — Order Columns.
Drag and drop fields into the order you want them to appear in the CSV.
If needed, click Reset to Default to restore alphabetical order.
Step 4: Save the template
Review your selected fields and column order.
Click Save Template.
Private vs Shared Templates
New export templates are Private by default, which means only you can see and use them.
Private template — visible only to the user who created it
Shared template — visible to all users in your organization
To make a template shared, turn the Private switch off when creating or editing the template.
Important: Shared templates are visible to all users in your organization, but only the
template creator can edit or delete them.
How to Duplicate a Template
If you want to create a variation of an existing template:
Open the Export Templates list.
Click the ⋮ menu next to the template.
Select Duplicate.
The duplicate is always created as a Private template, even if the original template was shared.
How to Run an Export Using a Template
Go to the Contacts page or the Pipeline page.
Apply any filters you want to the list.
Click the Download button.
In the export modal, choose a saved template from the dropdown.
Or choose All Fields (Default) if you want the full default export.
Click Run Export.
The CSV file will include only the fields and column order defined in the selected template.
Special Field Behavior
Some fields export in a specific way. This is important when building templates for spreadsheets, uploads, or recurring team reports.
Contact ID — if selected, it always appears as the first column even if you place it elsewhere
Primary Phone / Primary Email — exports both the value and its type as separate columns
Primary Address — exports as separate columns for line 1, line 2, city, state, zip, country, and type
All Other Phones / Emails / Addresses — exports non-primary records combined into a single pipe-separated column
Social Media / Websites — exports all records combined into a single pipe-separated column
Identifications / Professional Contacts / Employment History — exports all records combined into a single pipe-separated column
Who Can Use This Feature?
The download button and export modal are available to users with these roles:
Owner
Admin
Editor

Create separate templates for different workflows — for example, one for marketing, one for advisor handoff, and one for reporting
Keep shared templates standardized so your team exports data in a consistent format
Use private templates for one-off or personal workflows that do not need to be used by the whole team
Review column order carefully if the CSV will be used in spreadsheets, imports, or downstream tools
Keep the default export available for cases where you need a full data pull without template setup
FAQs
Do I have to create a custom export template before exporting contacts?
No. You can still use All Fields (Default) from the export dropdown without creating a custom template.
Can I choose different fields for Contacts and Pipeline exports?
The same saved export templates can be used from both the Contacts and Pipeline pages.
Can I change the order of columns in my CSV?
Yes. In Step 2 — Order Columns, drag and drop fields into the order you want.
Can I share an export template with my team?
Yes. Turn off the Private switch to make the template shared.
Who can edit or delete a shared template?
Shared templates are visible to everyone in your organization, but only the template creator can edit or delete them.
