Creating Segments

A Segment is a filtered list of people that have something in common, such as the same Tag, Custom Field, or some other criteria. Segments can be used to filter contacts in sales pipeline, contact dashboard, workflows, email marketing campaigns, and text marketing campaigns.

When a Segment is created, it dynamically includes and excludes people based on the specified filter criteria. When a person matches the criteria, they are included in the Segment. When a person no longer matches the criteria, they are excluded from the Segment. There is no limit to the number of times a person can be included or excluded from a Segment. A person can be included in multiple segments at the same time without counting towards your billing multiple times.

Filter Criteria

Apply filters to your list to create a new Segment. You can use multiple conditions in a filter. To add additional conditions, click + And button or the + Add "OR" rule group underneath.

When multiple conditions are separated by AND a person must satisfy each condition to be returned in the segment.

When sets of conditions are separated by OR a person is only required to fulfill one set of conditions to be included in the segment.

How “Does Not Include” Handles Blank Values

When you use a does not include rule on a dropdown field, LeadCenter includes contacts where that field is blank. This helps segments match the way most users expect: if a contact does not have one of the selected values, they should be included, even when the field has no value yet.

For example, if you create a rule like Stage does not include Won, the segment includes:

  • Contacts whose stage is set to something other than Won
  • Contacts with no stage set

This is useful when you want to find everyone who is not in a specific value, including contacts where that field has not been filled in yet.

Example

You want to find every contact named Saad who is not currently in the Won stage. You create a segment with these rules:

  • First Name contains Saad
  • Stage does not include Won

If a contact named Saad has no stage set, that contact is included in the segment because a blank stage is still not Won.

Where This Applies

This behavior applies anywhere LeadCenter evaluates a does not include rule on a dropdown field, including:

  • Marketing → Segments
  • Workflow filter nodes
  • Saved segments used inside workflows
  • Contacts advanced filters
  • Anniversary emails that target a segment
  • Event invitation emails that target a segment
  • Bulk actions based on a segment

Examples of Dropdown Fields

This applies to dropdown fields such as:

  • Stage
  • Source
  • Medium
  • Category
  • Owner
  • Marital Status

If You Want to Exclude Blank Values

If you want the field to be filled in and not include a specific value, add an additional exists rule.

For example, to find contacts whose stage is set and is not Won, use:

  • Stage exists
  • Stage does not include Won

This excludes contacts with a blank stage.

Note: Existing segments and workflow filters do not need to be edited or re-saved. They automatically use this behavior the next time they run or are previewed.

Using Age in Segments

You can use Age as a filter when building a segment. Age is calculated automatically from each contact’s Date of Birth, which makes it easier to build age-based audiences without creating a separate custom field.

To use Age in a segment:

  1. Go to the Contact Segments page.
  2. Create a new segment or edit an existing one.
  3. Add a filter condition using Age.
  4. Select the condition you want to use.
  5. Enter the age value if needed.
  6. Save the segment.

Available Age Conditions

  • Equals
  • Does not equal
  • Is greater than
  • Is less than
  • Exists
  • Does not exist

Example Segment Uses

  • Contacts with Age equals 65 for Medicare-related outreach
  • Contacts with Age is greater than 72 for Required Minimum Distribution planning
  • Clients with Age is greater than 55 for retirement planning campaigns

Note: Age is based on the contact’s Date of Birth. If no Date of Birth is stored, the contact will not match age-based filters except Does not exist.
