Assigning Tasks to Team Members

Task assignment helps make sure the right person is responsible for the right work. You can assign each task to an owner, add additional assignees, and reassign tasks later as priorities change.


Task Owners

Every task has an Owner. The owner is the main person responsible for completing the task.

You can assign a task to:

  • A specific user
  • A team, if your account uses team-based task ownership

Note: The task owner is different from the person who created the task. The creator makes the task, while the owner is the person or team expected to complete it.


Assign a Task When Creating It

  1. Go to Tasks.
  2. Click ActionsCreate task.
  3. Fill in the task details.
  4. In the Owner field, select the user or team who should own the task.
  5. Optionally add Additional assignees.
  6. Click Save.

Reassign a Task

You can change the owner of a task at any time.

From the task row

  1. Go to Tasks.
  2. Find the task you want to update.
  3. Click the three-dot menu on the task row.
  4. Select Assign owner or Edit.
  5. Choose the new owner.
  6. Click Save.

From the task details panel

  1. Open the task.
  2. Click ActionsEdit.
  3. Update the Owner field.
  4. Click Save.

Additional Assignees

You can add Additional assignees to a task when more than one person should be involved.

Additional assignees are useful when:

  • More than one person needs visibility into the task
  • Someone needs to support the task owner
  • You want another team member to receive task-related notifications

The main owner is still the primary person responsible for the task, even when additional assignees are added.


Bulk Reassign Tasks

If you need to reassign many tasks at once, use bulk actions.

  1. Go to Tasks.
  2. Select the checkboxes next to the tasks you want to update.
  3. Click Change owner in the bulk actions bar.
  4. Select the new owner.
  5. Confirm the change.

Tip: Bulk reassignment is especially useful when someone changes roles, goes on leave, or leaves the company.


How Assignment Affects Visibility

  • Public tasks can be seen by users with access to the task page, even if they are not the owner.
  • Private tasks are visible only to the creator, the owner, and any additional assignees.
  • Assigned tasks appear in the owner’s task views and filters.

How Assignment Affects Notifications

Task-related notifications are tied to ownership and assignment. For example:

  • The owner receives due and overdue reminders based on notification settings.
  • Additional assignees can also receive visibility and notifications depending on the task setup.
  • If you mention a teammate in task notes, they are notified separately through the mention.

Best Practices

  • Always assign an owner so each task has a clear person responsible.
  • Use additional assignees only when needed so accountability stays clear.
  • Reassign tasks promptly when team responsibilities change.
  • Use bulk reassignment when updating many tasks at once instead of editing them one by one.
  • If a task is personal or sensitive, combine assignment with private visibility.

Frequently Asked Questions

Can a task have more than one person assigned?

Yes. A task can have one main Owner and one or more Additional assignees.

What is the difference between the owner and additional assignees?

The Owner is the main person responsible for the task. Additional assignees can also view and work on the task, but they are not the primary owner.

Can I reassign a completed task?

Yes. You can still change the owner of a completed task if needed for recordkeeping or reporting.

Can I assign a task to myself?

Yes. You can assign tasks to yourself just like any other user.

What happens if I delete a user who owns tasks?

If a user leaves your account, you should reassign their tasks before or during offboarding so those tasks do not remain tied to the wrong owner.
