Task Notifications and Reminders

LeadCenter can notify users about important task activity so nothing gets missed. Notifications help task owners and assignees stay on top of new tasks, upcoming due times, overdue work, and mentions inside task notes.


How Task Notifications Work

Task notifications are sent to help users keep track of work that needs attention. Depending on the type of notification and the user’s settings, notifications may appear:

  • Inside LeadCenter
  • By email

Notifications are tied to task ownership, assignment, due dates, and mentions.


Task Notification Types

LeadCenter supports four task notification types. Users can turn each one on or off in their notification preferences.

Daily tasks A morning digest of tasks that are due. Email, Push notification
Task reminder A reminder sent 15 minutes before a task’s due time. Email, Push notification
Task created Notifies you when a task is created and assigned to you. Email, Push notification
Task updated Notifies you when a task you own is updated. Email

How Reminder Timing Works

If a task has both a due date and a due time, LeadCenter sends a reminder 15 minutes before the task is due.

If a task has only a due date and no due time, it can still appear in the daily digest, but the 15-minute reminder applies only when a due time is set.


Push Notifications

Task-related push notifications can appear inside LeadCenter for supported notification types. Push notifications are available for:

  • Daily tasks
  • Task reminder
  • Task created

Notification Preferences

Users can enable or disable task notifications in their notification preferences under the Tasks category. The available options are:

  • Daily tasks — get a daily email in the morning with due tasks
  • Task reminder — get a reminder when a task’s due date is approaching
  • Task created — get notified when a task is created and assigned to you
  • Task updated — get notified when a task you own is updated

Task Mentions in Notes

If you mention another user in the Notes field of a task, that user receives a mention notification. This is separate from task ownership and due reminders.

How to mention someone in a task note

  1. Create or edit a task.
  2. In the Notes field, type @ followed by the user’s name.
  3. Select the user from the suggestion list.
  4. Save the task.

The mentioned user receives a notification that they were mentioned in the task.


Who Receives Task Notifications

Task notifications typically go to:

  • The task owner
  • Additional assignees, depending on the task setup
  • Users mentioned in task notes

The task creator does not automatically receive every task notification unless they are also the owner, an assignee, or a mentioned user.


What Makes a Task Overdue

A task becomes overdue when:

  • its due date has passed and the task is still open, or
  • its due time has passed and the task is still open.

Tasks marked as Completed or Cancelled are not treated as overdue.


How to Reduce Missed Tasks

  • Always assign an owner.
  • Add a due date to every important task.
  • Add a due time when timing matters.
  • Use mentions when another team member should be aware of the task.
  • Review the Today and Overdue views regularly.

Best Practices

  • Use due times only when the exact timing matters, so reminder noise stays manageable.
  • Mention teammates in notes when they need awareness, but use task ownership when they are actually responsible for completion.
  • Mark finished tasks as Completed promptly so overdue reminders stop correctly.
  • Use Cancelled instead of leaving unneeded tasks open.
  • Check your notification settings if you are not receiving expected reminders.

When does LeadCenter send a due reminder?

Will I get a reminder if the task only has a due date and no time?

Who gets notified when I mention someone in a task note?

Only the user you mention receives the mention notification.

Do completed tasks still send overdue reminders?

No. Once a task is marked Completed or Cancelled, it is no longer treated as overdue.

Why didn’t I get a task reminder?

Check whether:

  • the task had a due time
  • you are the owner or were assigned to the task
  • the relevant task notification type is enabled in your notification preferences
