Share Task Lists with External Users (Read-Only)

Share a public task list with another LeadCenter user by email. Shared users can review the list and its public tasks, documents, and comments, but they cannot make changes.

Any user who has access to a public task list can share it.


Before You Share a Task List

  • Only public task lists can be shared.
  • The Share option does not appear for private task lists.
  • Archived task lists must be unarchived before they can be shared.
  • You cannot share a list with yourself.
  • You cannot share a list with someone who already has access to your LeadCenter store.
  • You cannot share the same list with the same email address more than once.

Share a Task List

  1. Open the Tasks page .
  2. In the sidebar under My lists, open the three-dot menu for the public task list you want to share.
  3. Click Share.
  4. Enter the recipient's email address.
  5. Click Add.

The recipient appears under People with access, and LeadCenter sends an email invitation automatically.


Manage Access

Open the list's Share window to review or remove people who have access.

  • Viewer โ€” The person has read-only access to the list. This is the default permission.
  • Viewer ยท Invited โ€” The person has not registered or accepted the invitation.
  • Revoke access โ€” Immediately removes the person's access to the list.

Important: Changing a shared task list to Visible to me only automatically revokes access for everyone with whom the list was shared.


Open a List Shared with You

  1. Open the task-list invitation sent to your email address.
  2. Sign in to LeadCenter.
  3. Open Tasks and find the list under Shared with me in the sidebar below My lists.
  4. Click the list to review its tasks in List or Kanban view.

If you do not have a LeadCenter account, register using the same email address that received the invitation. LeadCenter links the pending share to your account after registration.


What Viewers Can See

A shared-list viewer can review:

  • Public tasks on the shared public list
  • Open, completed, and cancelled tasks included by the selected filters
  • Task title, stage, owner, category, due date, and priority
  • Public documents attached to tasks
  • Public task comments in the task details panel

What Viewers Cannot See or Do

Shared-list access does not expose private information or allow the viewer to manage tasks.

  • View private tasks or task lists
  • View contact names, workflow links, or appointment details connected to tasks
  • View private documents or private comments
  • Create, edit, complete, delete, or reorder tasks
  • Change a task's stage or drag Kanban cards between columns
  • Add, edit, or delete comments
  • Create new tasks in the shared list
  • Use the Group by Workflow view for the shared list

Review Task Details

Click a task in a shared list to open the Task details panel in read-only mode. The panel does not include an Actions menu or comment box.

Viewers can preview or download public documents using the secure links provided in the shared task. Private documents do not appear.


Your Own Task Lists

Sharing does not change your own task lists, Inbox, task scopes, or regular task workflows. Lists shared with you remain in a separate Shared with me section on the Tasks page.
