AI Meeting Preparation

AI Meeting Preparation automatically generates a meeting prep summary before your appointments so you can walk into meetings with the right context—without digging through notes and past activity.


What You Get

  • A meeting prep summary generated automatically before an appointment.
  • An email notification when the prep is ready.
  • A saved note inside the contact record (on the contact details page) so you can reference it anytime.

Where AI Meeting Prep Is Configured

AI Meeting Prep is configured in Calendar Settings. You can:

  • Set a default meeting prep setup for the calendar (applies to all appointment categories).
  • Set different meeting prep setups per appointment category (different template and timing per category).
  • Choose a different template for a specific Public calendar link (so that link uses its own template).
  • Choose a different template for an individual appointment when creating or editing an appointment in LeadCenter.

Configure AI Meeting Prep in Calendar Settings

  1. Go to Calendars.
  2. Edit the calendar you want to configure.
  3. Open the AI Meeting Preparation tab.
  4. Choose how you want meeting prep to work:
    • All categories: Select a template and timing without choosing a specific category. This applies the same setup to every appointment category.
    • Per category: Select an appointment category, then choose the template and timing for that category. Repeat for each category you want configured.
  5. Under Automatically generate, choose when meeting prep should run.
  6. Click Save.

Tip: If you only configure meeting prep for specific categories, only those categories will generate meeting prep. If you configure “All categories”, meeting prep will generate for every category.


Use a Different Template for a Public Calendar Link

If you want appointments booked through a specific Public calendar link to use a different meeting prep template than the calendar default, you can set it on the link itself.

  1. Go to Calendars.
  2. Edit the calendar you want to configure.
  3. Open the Public calendar links tab.
  4. Find the link you want to adjust.
  5. Click the three dots menu next to that link.
  6. In the popup, find Meeting prep template.
  7. Select a template from the Select template dropdown.
  8. Save your changes.

This link-level template will be used for appointments booked through that Public calendar link.


Choose a Meeting Prep Template for an Individual Appointment

If you need a one-off meeting prep that’s different from the calendar or link setup, you can choose a template directly on the appointment.

  1. Create or edit an appointment in LeadCenter.
  2. Scroll to the bottom of the appointment form.
  3. Click Show more.
  4. Find the Meeting prep template field.
  5. Select the template you want to use for this appointment.
  6. Save the appointment.

This applies only to that appointment and does not change your calendar or public link settings.


Timing Options

Meeting prep can be generated at the following times before the appointment:

  • 15 minutes before
  • 30 minutes before
  • 1 hour before
  • 2 hours before
  • 4 hours before
  • 12 hours before
  • 24 hours before
  • 48 hours before

If an appointment is scheduled too close to the meeting time, the prep may generate closer to the appointment than expected.


Where to Find the Meeting Prep

  • You’ll receive an email when meeting prep is ready.
  • The meeting prep is saved as a note in the contact record (contact details page).

When Meeting Prep Won’t Be Generated

  • No template or timing was configured: Meeting prep only runs after a template and timing have been saved in the calendar’s AI Meeting Preparation tab.
  • The appointment category isn’t covered: If you configured meeting prep only for certain categories, appointments booked under other categories will not receive meeting prep.
  • The appointment is in the past: Meeting prep is intended for upcoming appointments.

Best Practices

  • Create templates by meeting type: Use different templates for Consultation vs Review vs Follow-up so the prep focuses on the right context.
  • Use category-based setup: If your categories represent different meeting types, configure meeting prep per category for better output.
  • Choose timing that matches your workflow: Use 24–48 hours for deeper prep, and 1–4 hours for quick reminders and context refresh.
  • Standardize across the team: Use shared templates and category rules so everyone prepares consistently.
