The Internal Subject feature allows you to maintain two subject lines for the same appointment: one for internal calendar views and one for client-facing communications. This gives your team better internal context while keeping client-facing subjects clean and professional.
What This Feature Does
Separate subject lines: Use one subject internally and a different subject for clients.
Calendar-level control: Enable or disable Internal Subject independently for each calendar.
Client-safe by design: Internal subjects are never visible to clients.
Smart calendar display: When enabled, calendar views show the internal subject instead of the regular subject.
Status-aware: Status prefixes such as [Cancelled], [Completed], or [No-Show] still apply.
Template support: Appointment templates can pre-fill internal subject values.
How Internal Subject Works
An additional Internal Subject field appears when creating or editing appointments.
The regular Subject field remains required and is always used for client-facing communications.
Calendar views display the internal subject when one is provided.
Important: Internal Subject only affects internal calendar displays. Clients will always see the regular Subject.
How to Enable Internal Subject
Internal Subject is enabled per calendar. You can access calendar settings using either of the following paths:
Click Edit next to the calendar you want to update.
Open the Basic Details tab.
Enable the Internal Subject checkbox.
Click Save.
Option 2: From the Main Calendars Menu
Click Calendars from the main left (blue) navigation menu.
Select the calendar you want to edit.
Click the Calendar Settings (gear icon) in the top-right corner.
Open the Basic Details tab.
Enable the Internal Subject checkbox.
Click Save.
Using Internal Subject
When Internal Subject is enabled, you can optionally enter an internal subject when creating or editing appointments. This internal subject appears only in internal calendar views and is never shown to clients.
Important Notes
Internal Subject is optional and can be left empty.
The regular Subject field is always required.
Internal Subject data is preserved even if the feature is disabled.
Each calendar controls its own Internal Subject setting.
