How Do I Export My Data From Redtail CRM and Migrate to LeadCenter?

LeadCenter’s Redtail migration can include the following items from your Redtail CRM backup:

  • Contact details, including User Defined Fields
  • Notes and comments
  • Activities, including recurring activities
  • Seminars
  • Manually tracked accounts (for example, policies, annuities, and similar records)

If you only want certain types of data migrated, let the LeadCenter Data Migration team know when you submit your request.


How Redtail Activities Map to LeadCenter

Redtail stores tasks and appointments together as activities, while LeadCenter stores them as separate record types. Because of this, each Redtail activity code must be mapped as either a Task or an Appointment before migration.

Activities from Redtail are migrated into LeadCenter based on your firm’s activity code mapping. This mapping is confirmed with you before migration so each activity type is placed in the correct location in LeadCenter.

Depending on the mapping you approve, Redtail activities may be migrated into LeadCenter as:

  • Tasks
  • Events / appointments
  • Other activity-related records, based on the agreed mapping

Important: If an activity code is left unmapped, activities in that category will not be migrated. Activity migration is based on the activity code mapping confirmed by your team, not only on the Redtail activity type label.

Recurring Activities

LeadCenter supports migration of recurring activities from Redtail.

If your Redtail backup includes recurring activities, our migration team can bring those into LeadCenter as part of the migration, based on the activity code mapping confirmed with you.


Email History Expectations

Email history is not always included in a Redtail database backup in a format that can be migrated directly.

  • Microsoft-related email/calendar history: This may be migrated when available and supported as part of your migration setup.
  • Other email history: Availability depends on how the data exists in Redtail and what is included in your backup or export.

Important: If email history is important for your migration, confirm that with the Data Migration team in advance so expectations are clear before the migration begins.


Step-by-Step: Export Your Data from Redtail CRM

  1. Navigate to Manage Your Account in Redtail CRM.

  2. Under the Admins Only section, click Dropbox Files and Database Backups.

  3. In the top-right corner, click Request database backup.

  4. Once the backup is complete, a link to the .zip file will appear on the same screen.
    • If you do not see it right away, refresh the page.
  5. Download the .zip file. Do not extract or open it.
  6. Send the backup file securely to our team at support@leadcenter.ai.

Important for Multi-User Accounts

When migrating your data from Redtail to LeadCenter, we need a complete list of your users so activities, tasks, notes, and historical records are attributed to the correct people after migration.

Redtail’s backup does not provide everything needed for user attribution by itself, so for multi-user accounts you must also send your user details along with the backup.

  1. Export your users’ details from Redtail.
  2. Send that file to the LeadCenter Data Migration team along with your backup.

Important: Without user details, we cannot correctly attribute activities, tasks, notes, and other historical records for multi-user accounts.
