Sync Seminars and Attendees with Zapier

You can use Zapier to connect LeadCenter seminars, events, and attendees with other systems your team uses. This is useful when seminar registrations, attendee updates, or event activity are managed outside LeadCenter but need to stay connected to your LeadCenter contacts and follow-up process.


When to Use This Integration

  • You collect seminar registrations in another platform.
  • You want attendees created or updated in LeadCenter automatically.
  • You want LeadCenter contacts updated when someone registers, cancels, attends, or changes details.
  • You want to keep event activity connected to marketing Source and Campaign reporting.

Connect LeadCenter to Zapier

Zapier uses LeadCenter Personal access tokens for authentication.

  1. In LeadCenter, go to Setup → Integrations.
  2. Open the Zapier card.
  3. Go to Access tokens.
  4. Click Generate new token.
  5. Copy the token immediately. It is shown only once.
  6. In Zapier, connect your LeadCenter account and paste the token when prompted.

Common Seminar Workflow Examples

  • Create or update a LeadCenter contact when someone registers for a seminar.
  • Add an attendee to a LeadCenter event when someone registers in another platform.
  • Update attendee status when someone attends, cancels, or changes registration details.
  • Send a notification to your team when a new seminar attendee is added.
  • Create a follow-up task after a seminar registration or attendance update.

Recommended Setup

Use this pattern to keep contacts clean and reduce duplicates:

  1. Trigger the Zap when a seminar registration or attendee update happens in the source app.
  2. Use Find Contact in LeadCenter.
  3. If found, use Update Contact.
  4. If not found, use Create Contact.
  5. Add or update the person as an attendee for the correct event when that action is available in your Zapier account.

Source and Campaign Setup

For seminar reporting, use a parent Source such as Seminars and create each seminar as a Campaign under that Source.

When mapping data in Zapier, pass the seminar or campaign information into the available LeadCenter fields shown in Zapier.


Field Mapping Tips

  • Use Email as the match field when finding existing contacts.
  • Map required contact fields such as name, email, and phone when available.
  • Map seminar details such as event name, event date, attendee status, or source platform where the Zap action supports them.
  • Use consistent campaign names so reporting stays clean.
  • Test with real sample registrations before turning the Zap on.

Test the Zap

  1. Create a test registration in the source platform.
  2. Run the Zap test.
  3. Open LeadCenter and search for the test contact.
  4. Confirm the contact was created or updated correctly.
  5. Confirm the event or attendee information appears where expected.
  6. Review Zapier task history for errors.

Troubleshooting

Duplicate attendees or contacts are being created

  • Use Find Contact before Create Contact.
  • Confirm the match field, usually Email, is mapped correctly.
  • Check whether the source platform is sending different email formats or duplicate registration events.

Attendee status is not updating

  • Confirm the Zap is triggered when the attendee status changes.
  • Confirm the LeadCenter update action is mapped to the correct record.
  • Review Zapier task history for skipped or failed tasks.

Event or campaign data is missing

  • Confirm the source app sends the event name or campaign value.
  • Map only fields that are shown in Zapier for the LeadCenter action.
  • Use consistent event and campaign naming across platforms.
