Trash: Deleting and Restoring Contacts

The Trash folder stores contacts that have been deleted from the Contacts page or the Sales Pipeline. Deleting does not immediately remove the contact forever. You can review, restore, or permanently purge contacts from the Trash when needed.


Open the Trash Folder

  1. Open the Sales Pipeline.
  2. Use the filter or view that opens the Trash folder.
  3. Use search to find a contact by name, email, phone number, or contact ID.

Delete a Contact

Delete one contact

  1. Open the contact from the Contacts page, Sales Pipeline, or a search result.
  2. Click Actions.
  3. Select Delete.
  4. Confirm the pop-up.

Delete multiple contacts

  1. Open the Contacts page or Sales Pipeline.
  2. Select one or more contacts with the checkboxes.
  3. Click Delete in the bulk action bar.
  4. Confirm the pop-up.

Restore a Contact

  1. Open the Trash folder.
  2. Find the contact you want to bring back.
  3. Click Actions.
  4. Select Restore.

The restored contact returns to the Contacts page with the same history, notes, tasks, tags, and related activity it had before deletion.


Permanently Purge a Contact

Some accounts allow a second action from the Trash folder to permanently remove a contact. This cannot be undone.

  1. Open the Trash folder.
  2. Find the contact.
  3. Open Actions.
  4. Select the permanent delete or purge option if it is available.
  5. Confirm the warning pop-up.

Permanently purging a contact cannot be reversed. Restore the contact instead if you may need the record again.


What Deleting Does and Does Not Do

  • Does: removes the contact from active views like Contacts, Sales Pipeline, and search.
  • Does: moves the contact into the Trash folder.
  • Does not: block future inbound calls, emails, or texts from that person.
  • Does not: remove related production or commission reporting records.
  • Does not: erase the contact immediately unless a separate purge action is used.

If you want to block future inbound communications from a contact, use Mark as spam. Deleting and marking as spam are separate actions.


Best Practices

  • Use delete for cleanup, not for blocking. Delete removes the contact from active views, but it does not stop new inbound communication.
  • Restore before recreating. If a contact was removed by mistake, restoring keeps the original history intact.
  • Review bulk selections carefully. Confirm the selected count before bulk deleting contacts.
  • Use purge sparingly. Only permanently remove a contact when you are certain the record is no longer needed.

FAQs

Can I restore a deleted contact?

Yes. Open the Trash folder, find the contact, and use Actions → Restore.

Does deleting a contact block their phone number or email?

No. To block future inbound calls and emails, mark the contact as spam.

What happens to notes, tasks, and appointments when I delete a contact?

They stay attached to the contact record and are available again if the contact is restored.

Can I bulk delete contacts?

Yes. From the Contacts page or Sales Pipeline, select the contacts and click Delete in the bulk action bar.

Is permanent delete the same as moving a contact to Trash?

No. Moving a contact to Trash is reversible. A permanent purge, when available, cannot be undone.
