Send Test Emails with Shortcodes Populated

Testing your email templates just got smarter. Previously, test emails were sent to a typed-in email address, but shortcodes (like (first_name)) weren’t populated. With this update, you can now send a test email to a specific contact so all applicable shortcodes populate with that contact’s real data.

Note: The test email will be sent directly to the contact you select. We recommend choosing a contact with an email address you have access to, and ensuring that the values for the shortcodes used in the template exist in that contact’s details.

How It Works

  1. Go to the Email Templates list.
  2. Click + New Template (top right) or open an existing template.
  3. Click Send test email at the top-right.
  4. Choose one of the options:
    • Send to email — type any email address. This sends the template without populating shortcodes.
    • Send to contact — search and select a contact by name or email. Shortcodes will populate with this contact’s data.
  5. If your template uses appointment shortcodes, you’ll be prompted to select the relevant appointment after choosing the contact.
  6. If your template uses event shortcodes, you’ll be prompted to select the relevant event after choosing the contact.
  7. Click Send. The test email will be sent to the chosen contact, with all shortcodes populated from their details (and, if relevant, their appointment or event).

Appointment variables: If your template includes appointment shortcodes, you must select an appointment for the chosen contact. If there are no future appointments for that contact, create one in the future first so the variables can populate.

Event variables: If your template includes event shortcodes, the chosen contact must be registered for an event to select it during the send test flow.
